Keep Notion AI drafts separate from approved records

Notion AI lives inside the same workspace as plans, tasks and notes. That convenience is also the risk: a fluent draft can sit next to an approved policy and look equally official.

Notion’s help centre describes Notion AI as a teammate that can summarise, draft, search workspace content and connected apps, and—via Notion Agent—create or edit pages and databases. Notion also states that AI may output incorrect information, may be outdated, and may contain bias. Plan for review accordingly.

Split “thinking space” from “system of record”

Create a clear place for AI-assisted drafts (a Drafts database or a /ai-scratch area). Keep approved SOPs, client facts and published copy in pages that require human edit rights.

When you ask for a draft, say where the output should land. Do not let an agent overwrite the only copy of an approved page without a backup.

Brief Notion AI with sources you control

@-mention the pages that contain approved facts. Ask for a separate list of claims that need checking. Notion’s own guidance frames AI as a partner for getting started and editing—not as a replacement for verification.

If Research Mode or web search is enabled in your workspace, treat web-derived statements as leads. Confirm dates, prices and product claims on the primary site.

Watch plan and usage limits

Notion documents that Notion AI is available on Business and Enterprise plans, with usage allowances for certain features, and that Free/Plus users get limited complimentary responses. Premium models may require credits and admin enablement. Check your workspace settings before promising a team workflow that depends on continuous AI access.

Exercise

Pick one page your team already trusts (a pricing note, onboarding checklist or FAQ). Ask Notion AI for a rewritten version into a new draft page only. Mark every factual claim. Accept none into the trusted page until each claim matches a source.
